Operations and Records Management Assistant
The Operations and Records Management Assistant will be responsible for the management of over 4,500 applications for admission in the database ensuring accuracy of data, timeliness in adding supporting materials, and quality data integrity, while providing overall support for records management and the office at large.
Job Responsibilities
- Application Count: Manage the flow of applications to ensure an accurate daily application count, reported out to the entire admissions staff. This includes tracking first-year and transfer application counts and types, and deleting multiple applications using professional judgement. Provide benchmark reporting on application totals for the last 3 years, daily.
- Application Management: Use queries and processes to maintain accuracy of applications at all times. This includes exceptional data integrity checks by use of queries, lead on all application changes including deletion or term adjustments, and responsible for ensuring manual data entry is correct (i.e. GPAs).
- Application completion: Uploads and imports supplemental materials to complete applications in a timely manner. Materials come in from a variety of sources (Parchment, email, mail, electronic files).
- Data Integrity: Use queries in Slate to ensure critical fields are populated and accurate by population. Fields include address, school, entry term, student type, etc.
- Consolidate records: Deduping repeat records brought in through various sources. Populations include relationship, organization, and prospect data. Requires review of each record and use of judgement on which data to retain and which to delete.
- Miscellaneous office tasks: Mail processing and distribution, completing admit packets and financial aid letters, answers phone calls from students, provides reception relief as needed, and assists when on-campus events when needed.
- Process documentation: Creates and manages manuals and procedure documents for operations, counseling staff, and student workers.
- Training: Primary systems trainer for new and returning student workers.
- Cross training: Deposit processing and tracking (Jenzabar and Slate), document uploading, score importing, etc.
Qualifications
- Proficiency in Microsoft Excel, Word, and Outlook required. Experience with data entry and data integrity management within a customer relationship management system preferred. Ability to learn and work within multiple systems is crucial.
- This position requires exceptional management of applications for multiple application types and rounds. Processes must be set up to account for professional judgement especially in the case of which application to keep and which to delete. This position is also responsible for the entire consolidated record process.
- Associate degree with 2-4 years of related experience; or equivalent combination of education and experience.
